Visitor Services and Membership Coordinator
SUMMARY
The Visitor Services and Membership Coordinator (VSMC) reports to the Executive Director (ED) and is responsible for overseeing visitor experience, membership, and events. The VSMC coordinates front desk operations of the museum, working independently and as part of a team, and is responsible for ensuring that the mission and goals of the museum are reflected and realized in its front-of-house operations.
Essential Job Functions
Visitor Services (45%)
- Serves as the museum’s front-line ambassador, engaging with visitors and building relationships for the institution, encouraging repeat visitation and museum membership
- Conducts all front-of-house activities during off-season, including opening and closing the museum, assisting visitors with museum admission and store purchases, and providing museum and tourism information
- Ensures all museum public spaces including parking lot, entrance, lobby, bathroom, and store are safe, secure, clean, stocked, and well-maintained
- Schedules, trains, and oversees part-time, seasonal Visitor Services staff and volunteers, ensuring staff works successfully with visitors, enhances visitor experience, and promotes the value of membership
- Tracks visitor counts, including buses and school groups, and prepares monthly visitor and admission count reports, as well as the quarterly visitor count reports requested by Jamestown Tourism
- Schedules and coordinates all school and tour bus groups
Membership and Events (30%):
- Processes all memberships and renewals, executes all membership mailings, including mail merge and printing labels
- Manages and maintains membership records, prepares monthly membership reports, and actively recruits and retains museum members
- Conducts end of-year-ask letter campaign and other solicitation activities (including mailings, phone, and email campaigns) as directed by the ED
- Works collaboratively with staff on email and social media campaigns for membership and events
- Plans and manages fundraising events and activities – seeks sponsors, schedules and manages venues, vendors, and volunteers
- Assists with the development of event budgets, tracks expenditures, and keeps expenditures within budget
General Administrative (25%)
- Maintains and updates the museum operations manual
- Creates and updates internal and external museum master calendars (include fundraising initiatives, special events, group tours, administrative tasks, etc.)
- Prepares public announcements, posts signage, and prepares meeting space for monthly board meetings and annual member meeting
- Maintains office and janitorial supplies, coordinates office equipment management and repair needs
- Provides content for social media posts and contribute to quarterly newsletter and other publications as needed
- Answers phone and email correspondence, and facilitates internal communication
- Assist with grant applications as directed by ED
- Other duties as assigned
Knowledge, Skills, and Abilities:
- Basic computer literacy, with working knowledge of Microsoft Word and Excel
- Strong writing and communication skills including attention to the details of grammar and nuances of language
- Ability to meet ongoing deadlines and deliver an accurate work product
- Highly organized with ability to multi-task and prioritize
- Excellent planning and organizational skills
- Exceptional interpersonal communication skills, strong customer service skills, and professional demeanor
- Ability to project a positive and cheerful demeanor, especially in stressful situations
- Flexibility and the ability to make thoughtful, independent decisions in a fast-paced environment
- Approachable style, ability to connect with employees and establish rapport with various personality types
- Ability to work some weekends, holidays and some special event hours
- Ability to lift up to 20 pounds.
Minimum Qualifications
- Bachelor’s degree or equivalent professional experience
- Two years of professional experience
- Cash handling experience
Preferred Qualifications
- Experience with project management or event planning
- Interest or experience with museums and/or the American bison and a passion to learn what you don’t know
